Minutes from the planning side of town halls, AGMs and big internal meetings

Keeping the agenda straight

When an internal conference grows beyond a single room, the agenda becomes a job in its own right. Parallel tracks, speakers who rename their sessions twice and a room swap on the morning of day one can leave the website, the app, the door signs and the stage announcements telling four different stories. Delegates notice immediately.

Item: name the source of truth

Decide where programme information lives. It can be an agenda platform, or a planning sheet that supplies one. Either works, as long as everyone knows which version wins when two disagree.

Item: keep preparing and publishing apart

  1. Speakers or track owners submit titles and synopses through one form.
  2. A central programme team checks naming, timing and room allocation.
  3. A named person signs off each track or day.
  4. Designated people publish approved content to each channel.
  5. Someone checks the live result on a phone and on a venue screen.

Each of those steps, and the hand-offs between organiser, speakers, venue and technical teams, is laid out in this workflow for keeping a conference agenda correct.

Item: agree the conventions

Write down how times are shown, how speaker titles are written and what rooms are called. Use the venue's official room names so that signage and agenda match.

Item: plan for change

  • Set cut-off dates for speaker content and hold to them.
  • Name one decision-maker for urgent changes on each show day.
  • List every channel that must be updated when a session moves.
  • Decide how delegates will hear about changes: a push notice, a screen or an announcement from the stage.

Item: keep a change log

A simple record of who changed what, and when, answers the inevitable question of why a delegate saw an old time and stops conflicting edits from undoing each other.

Action for the planner: before the first speaker submits anything, write the list of channels the agenda appears on and who updates each one.
